Fees, Policies and Reservation Information

Included or Not:
We have both all-inclusive and à la carte ranch adventures. Our Ranch Adventure Specialist will help you figure out what’s best for you and your party. Your ranch adventure will include all accommodations at The Retreat per itinerary or similar; all meals when indicated as included; and all activities and experiences indicated on your ranch supplied itinerary. Transportation to and from The Retreat is not included; excursions off ranch property for fishing, hiking or sightseeing are also not included nor is use of sports equipment such as canoes, paddleboards, life vests, fishing poles, binoculars, range finders, golf clubs, rifles, pistols, snowshoes, skis. Any ranch based activities including but not limited to golf, shooting, Razor tours, walking tours, hiking, bicycling, horseback riding, spa services, rock climbing, as well as tips, taxes and service charges where indicated as included; use of our exercise and fitness facility including lap pool, hot tubs, saunas; our onsite games and activities including driving range, pool, shuffleboard, horseshoes, roping and others too numerous to name; and the services of our Retreat, Links & Spa management staff are all included where indicated that they are. Use of helmets, wherever you want one, is included at no charge.

Not Included:
Air travel (except where shown as included), extensions, upgrades, optional activities on ranch and off, use of equipment, passport, visa, and immigration fees, meals not indicated as included, travel protection plans, items of a personal nature such as alcohol, cigars, gifts, email, and laundry.

Airfares and Transfers
For all programs, airfare is an additional cost unless otherwise noted. We will gladly assist you in making your air arrangements for a $50 per person service fee. Transfers between Silvies Field and The Retreat and between The Links and The Retreat are routinely provided at no cost during regular hours.

Reservations:
To reserve your Ranch Adventure, an advance payment of 50% of the expected stay value is required at the time of the reservation. Payment is accepted by Visa, MasterCard, American Express, Discover or by check (we accept cash or gold too!). Receipt of your initial payment indicates your acceptance of our complete Terms and Conditions. We require written notice at the time of reservation for any physical condition, diet, or treatment requiring special attention. Once your reservation is confirmed, we urge you to call and email your personal Ranch Adventure Consultant, who will help you create a once-in-a-lifetime Ranch Adventure. Managing your visit to the ranch online or by telephone will facilitate fast and accurate communication, and allow you to provide us with pertinent details we require in order to complete your reservation. We will require a current photo for your security card (which we are happy to take when you arrive.)

Travel Protection Plan:
We recommend that you take advantage of a Travel Protection Plan that offers comprehensive coverage to protect you from cancellation fees, costs incurred due to trip delays/interruption, damaged or lost luggage, medical assistance, and evacuation during your travels.

Alcohol Policy:
Must be 21 years of age or older to consume alcohol at The Retreat. We ask that you not bring any alcohol onto The Retreat as it is not covered under liquor license and its use is not covered by our insurance. You will be held strictly responsible if anything bad happens because of alcohol you brought onto the property. Exception: You can bring your favorite bottle of wine to The Retreat and we are happy to open and serve it for you in the Lodge for a $20 Corkage Fee – this is covered under our liability insurance policy. There is alcohol in the mini-bar in your room or Cabin and we are happy to remove it at your request and at no charge.

Vaping/Smoking Policy:
Only allowed in 3 outdoor locations and $300 cleaning fee for any violations – outdoor violators will be asked to leave the property and not return for at least 2 years.

Smoking or Vaping at the Coach/R.V. Park:
Only allowed inside the coach or R.V. – violators will be asked to leave with no refund.

General Golfing Notes:

  • You must have a tee time reserved – please familiarize yourself with Local Rules
  • Walking is permitted and encouraged at Silvies Links, but pull carts are provided at no charge and golf carts are available. Please be aware: The course is at 5,000 ft. elevation (the highest course in Oregon) and it is a long way to the hospital – please don’t overdo it.
  • No carts or scooters are permitted on McVeigh’s Gauntlet and Chief Egan Courses; carts available for handicap use on Chief Egan only – not McVeigh’s Gauntlet – steep hills make it very dangerous for carts. If you want to go on McVeigh’s Gauntlet, and ride a golf cart, a few Team Members are certified to take you, the fee is $200 per golfer per round.

Dog Policy:

  • Guest dogs are not allowed at The Retreat & Links due to the danger to them and other animals that is associated with the abundant wildlife, livestock, working dogs, and the high likelihood of a bad interaction with one of those. Ranch livestock guard dogs are trained to protect livestock from unknown canines (coyotes, wolves, dogs) and will kill any unknown dog if they see it – even in your arms.
  • Bona fide Guest Service Dogs:
    • $200 Per Day/Night (if it gets out of the owner’s car on ranch property, except the RV Park), plus $100 for cleaning and removing the dander from the room (Total $300/night)
    • Guest accommodations will be inspected upon check-out and guests will be charged for all damages plus any other expenses such as extra cleaning because the dog was shedding, etc.
  • Any guest bringing or sneaking a pet or service dog into a Cabin or Ranch House room will be charged a pet extra cleaning fee of $300/night, as all upholstery, drapes and rugs must be cleaned and the dog will be confined to a kennel and leash walked only.
  • The pet owner/guest assumes any and all financial responsibility for any damage caused in any way by their pet, including but not limited to: scratches or chew marks on furniture and finishes, carpet cleaning, linen replacement, upholstery/drapery cleaning, pet hair removal, odor removal, or any damage caused by the pet.
  • Dogs that bark at, bite or chase livestock or wildlife will be asked to leave the ranch on the first offence, and there will be no refund or concessions to the owner.
  • If the dog is in the room and the owner is absent, the dog must be in a crate or kennel. Dogs not left in a crate or kennel when the owner is absent will be asked to leave The Retreat. Dog owners should supply their own crate or kennel; if they do not have one, The Retreat may supply one if it is available, but we may well not have one available. Kennels and crates are available for purchase in Burns and in John Day.
  • The dog owner must immediately clean up all dog waste (inside and outside, anywhere on Silvies property)
  • The dog owner must sign a waiver agreeing that Silvies Valley Ranch, its owners, employees and other guests are not responsible and are free from liability in any way for any injury, illness or death of their dog under any circumstances; especially those caused by fertilizer, poison, livestock, wildlife, the ranch’s guardian and working dogs, drowning, leptospirosis and other animal borne diseases, injury by vehicles, etc.
  • Dogs (including service dogs) are absolutely not welcome within 100 feet of any horse or within at least one mile of goats (due to “on duty” guard dogs that will kill the pet and frequently range a long way – sometimes more than 5 miles – from the goat herd looking for animals they know as predators – any dog).
  • The pet owner is responsible and liable for any and all accidents caused by their dog or any damage to their dog. Veterinary emergency services are often available in Burns and John Day, but it may be necessary to go to Bend or Boise for an emergency (3 or more hours).
  • Pets are to be restrained at all times on a leash no longer than 6 feet, and cannot be tied up or chained in the patio area or in front of any guest room or building.
  • On-leash service dogs with good behavior are allowed:
    • In your guest room or in the RV Park area
    • In your own eco cabin and on leash within Silvies Camp Creek Ranch developement
    • Up the draw immediately west of the spa on leash
    • No other place on Silvies Valley Ranch
  • Sorry, even on-leash service dogs, in your arms, or in a carrier are not allowed in dining facilities, golf courses, cart paths, Egan’s Hideout (golf pro shop), Spa, Gate House, barns on property, the Livery Stable, in The Lodge, around the horses, around the goats or any place outside the elk fence.
  • Service Pets must be current on vaccinations and in good health
  • Guest agrees to be mindful of the comfort of other guests and minimize any noise caused by the pet. Guest will be financially responsible if Silvies is required to compensate or move other guests as a result of disruption by the pet.
  • Ranch owned dogs are allowed many places on the ranch: they know each other, the horses and what to do with livestock or wildlife.

Deposits & Cancellation Policy

  1. Day Guests (not staying overnight – here for golf, spa, dinner, etc.)
    1. Full Deposit Required to Hold Space – when the reservation is made:
      • Meals: Breakfast & Lunch $30; Dinner $85 deposits
      • Spa: full deposit for the reserved treatment
      • Golf: full deposit for the tee-times reserved
      • Ranch Experience: full deposit for the experiences reserved
    2. Credit Authorization – on credit card at check-in
      • Minimum of $50 deposit
      • Balance of expected charges not collected before arrival
    3. Balance – due at check-out
      • Required: 100% of all money owed collected
    4. Cancellation Policy for Day Guest – cancellation by guest for any reason
      • If before 21 days prior to arrival: 50% refund; or put a full deposit on credit for a future use in the same year or within 60 days at year end (can only move once)
      • If after 21 days prior to arrival: No refund
  2. Motor Coach Guests (1 or more spaces in the Coach Park)
    1. Full Deposit – when made to maintain reservation
      • Required to hold space:
        • If ala carte – expected space charge at $171/day/space. Due to limited spaces, 100% of the space charge is required to hold your space.
        • If on Package – 50% of the stay value is required to confirm your reservation, but no less than $171/day/space.
    2. Credit Authorization – on credit card at check-in
      • Required: Balance of total expected charges and not collected at 60 days (minimum $400)
    3. Balance – due at check-out
      • Required: 100% of all money owed collected
    4. Cancellation Policy – cancellation by guest for any reason
      • If before 21 days prior to arrival: 50% refund or put a full deposit on credit for a future stay during the current year, or by the end of June the next year (can only move once)
      • If after 21 days prior to arrival: No refund
    5. Reservations at check-out: When a guest makes their next reservation at checkout, they will receive 10% off their next entire stay or package. They only need to make a $171 per day deposit which is subject to the same cancelation policy.
  3. Regular Guests – individual reservation of 1-2 guest rooms
    1. Full Deposit
      • 50% of deposit is required if reservation is made over 21 days before arrival.
      • Full deposit is required to hold rooms if reservation is made within 21 days before arrival.
    2. Credit Authorization – on credit card at check-in
      • Required: Balance of total expected charges not yet collected
    3. Balance – due at check-out
    4. Cancellation Policy – cancellation by guest for any reason
      • If you cancel more than 30 days before arrival, we will give you the choice of either a 50% refund or put your full deposit on credit for a future stay that must occur during the one year (365 days) following your cancellation at the then current prices.
      • If you cancel 30-10 days before arrival, your deposit is forfeit in full but you will receive a credit worth 50% of your forfeited deposit towards any stay deposit that you make within 30 days of your cancellation (you have to add to your credit for the deposit on the new reservation; new reservation will be at current prices.
      • If you cancel 10 days or fewer days before arrival and more than 3 days after making the reservation, your deposit if forfeit in full.
    5. Reservations at check-out: When a guest makes their next reservation at checkout, they get 10% off the next entire stay or package. They need to make a normal 50% per day deposit which is 50% refundable up until 21 days before arrival and moveable with no added fee up until 21 days before arrival.
    6. Reason: Silvies likes to reward return guests
  4. Group Guests – reservations of 3 or more rooms
    1. Deposit - Required to hold rooms:
      • 50% of deposit is required if reservation is made over 21 days before arrival.
      • Full deposit is required to hold rooms if reservation is made within 21 days before arrival.
      • Note: room list and an electronic photo (head portrait) of each guest is required at 30 days out. Failure to provide photo may result in cancellation.
    2. Expected Balance: due at check-in
      • Required: 100% of the expected charges not collected previously are due and payable and must be collected prior to checking-in the whole group.
    3. Authorization - Each guest must have a credit card authorization on file at $400 on check-in alternatively the group must have an authorization on file for $5,000 or whichever is less.
    4. Final Balance on Individual Accounts - due at check-out
      • Required: 100% of all money owed will be collected or closed to the Master Account and collected at check-out
    5. Cancellation Policy - cancellation by group for any reason:

Other Deposit & Cancellation Notes

  • No money will be refunded when guests don’t show up or don’t want to take all the rooms or all the services that they reserved. Guests with reservations owe us the balance for all that they reserved regardless of what deposit is forfeited. In other words, a forfeiture of the full deposit does not change the fact that we have agreed that we are owed the entire cost of the reservation.
  • The Retreat at Silvies Valley Ranch is a family-owned and operated business. We reserve our right to refuse service to anyone and to demand that anyone that we in our sole discretion deem to be abusive, rude, a potential danger to themselves or others, leave our private property immediately and to have such person physically removed if necessary, and at their own expense.
  • If you cancel a spa treatment (like a massage or facial) or any other experience more than 21 days before your reservation, we will give you a 50% refund or credit for a future stay within the same year. If you cancel or "no show" within 21 days, your deposit will be forfeited in full. If more than 21 days before your reservation, a deposit of 50% of your experience is required to confirm your reservations. This is due at the time of booking. Balance is due at checkout.
  • If your reservation is within 21 day of booking, 100% of the entire stay value is required as a deposit at the time of booking.
  • Allowed Coaches: All coaches and RV's must be less than 10 years old, and must have lavatory and shower facilities, solar electric generation and a backup generator - we require a copy of your Coach or RV registration with year make and model.
